ETIAS for business travel: what you need to know

ETIAS authorization is not just for holidaymakers. Professionals traveling to Europe for meetings, negotiations, training or any other business purpose will also need one, provided they are nationals of an eligible country.

The good news is that the procedure is identical to that for a tourist trip. But there are several points to bear in mind when traveling on business.

Is ETIAS valid for business travel?

What ETIAS allows
Participate in meetings, make business decisions, meet with customers or suppliers, attend trade events, carry out audits or inspections on behalf of your foreign company. These activities are considered business, not work in the European legal sense.

What the ETIAS does not allow
Be employed by a European company, receive a salary from an entity established in the EU, carry out a paid self-employed activity on the territory of a member state. In these cases, a Schengen D visa or appropriate residence permit is required.

Teleworkers and digital nomads: If you work remotely for a foreign company from a Schengen country, the legal situation remains unclear in most member states. ETIAS allows you to enter the territory, but the legality of extended telecommuting depends on the national legislation of each country. Check with the authorities in your destination country before you leave.

How to apply for ETIAS for a business trip

The procedure for obtaining your ETIAS is the same, whatever the reason for your stay. Here are the steps to follow:

1. Check your eligibility
Only nationals of Schengen visa-exempt countries can apply for an ETIAS. Check that your country is on the list of eligible countries before you apply.

2. Bring your passport
The passport used for the application must be biometric and valid for the duration of your stay. The ETIAS will be electronically linked to this document.

3. Complete the online form
Log on to the official website and complete the online ETIAS form. Among the questions on the form, you will be asked the reason for your trip. Indicate “business” if this is your main purpose, even if you combine it with other activities.

4. Pay the application fee
The ETIAS fee is set by the European Union and is paid online by credit card. These fees are generally reimbursable by your employer as part of your business expenses.

5. Keep your confirmation
Once your ETIAS has been approved, you will receive a confirmation e-mail. You don’t need toprint out your ETIAS before you go to the airport, but you may find it useful to keep the confirmation on your phone.

Validity period and repeated business trips

One of the major advantages of the ETIAS for professionals who travel frequently is its validity period. An authorization is valid for 3 years, or until your passport expires, whichever comes first. During this period, you can make as many trips as you like within the Schengen area, up to a limit of 90 days per 180-day period.

Frequently asked questions – ETIAS and business travel

Do I need a different ETIAS for each country I visit on the same trip?
No. A single ETIAS covers all Schengen countries. If your assignment involves visiting Germany, the Netherlands and Belgium in succession, a single authorization is sufficient for the entire trip.

Do I have to justify the business reason for my trip on the form?
The form asks you to indicate the main reason for your stay. You do not need to provide any supporting documents (letter of invitation, contract, etc.) when you apply online. These documents may, however, be requested by border officials on arrival.

Can my employer make the request for me?
The ETIAS application is nominative and personal. However, a third party (assistant, HR department) can technically fill in the form on behalf of the traveler, provided that all the information is correct and that it is the passport holder who is making the trip.

What happens if my application is refused before an urgent business trip?
If your ETIAS application is refused, you will receive an e-mail explaining the reasons. You can submit a new application with corrected or additional information. If the refusal is upheld and your trip is urgent, an appeal to the competent authorities is possible, but the deadlines may be incompatible with an imminent trip.

Is the ETIAS valid for transit in Europe between two business destinations?
